Working together
Invite people to write and edit a page or sheet with you.
Inviting someone to edit
To work on a document with other people, invite them as collaborators. Collaborators are people you choose, by their email, who can read and edit one page or sheet with you.
To invite someone:
- Open the page or sheet.
- Click the Collaborators button in the top-right corner (the icon with two people).
- Type their email address and click Invite.
If they already have a cDox account, they can open it right away, and they get an email to let them know. If not, they get an email with a button. It opens a short sign-up, just their name and a password, and then the document opens. There's no second email to confirm: the invite is enough.
Every collaborator can edit. There's no "look but don't touch" collaborator.
On a small screen, Collaborators is in the ⋮ menu in the top-right corner.
Three ways to share, depending on what you want:
- Anyone can read one document: share a link.
- Certain people can edit one document: invite collaborators, as above.
- Certain people get a whole folder: use a shared folder.
Only the document's owner can invite people. A document can have up to 25 collaborators, counting invites that haven't been accepted yet. An invite expires after 7 days: send a new one if they didn't get to it in time.
Sending someone a link
To point someone at something, copy the link to a page, sheet or folder and paste it into an email or a message.
- Click the three dots (⋯) at the end of its row, or right-click it.
- Choose Copy link.
The link is also at the top of the Collaborators panel of a page or sheet, and of a folder's members panel.
The link doesn't let anyone in. It opens the page, sheet or folder for people who already have access. Anyone else sees a message asking them to get invited. To give someone access, invite them.
When you're in a folder, the address in your browser is its link too.
A link anyone can read without an account is something different: see sharing a link.
Seeing who's there
When someone else has the same document open at the same time as you, a small bubble appears in the bottom-right corner. It shows their picture and a line like "Sam is editing".
You see their changes appear as they type, and they see yours. There's no need to refresh the page.
Leaving comments
To comment on part of a page, select the text, then click the Add Comment button in the toolbar. Type your comment.
The text you commented on gets highlighted, and a small icon appears in the left margin. Click it to read the comment and reply. Replies stay together, like a conversation.
When it's sorted out, choose Resolve. The highlight goes away, and the comment is removed along with all its replies.
Comments are for pages only, not sheets. You can edit or delete your own comments. The page's owner can delete any comment. Resolving is permanent: the thread can't be brought back.
